Privacy notice: Medr Promoting Collaboration Programme

In line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, this privacy notice explains how personal data will be collected, used, stored and deleted as part of the Medr Promoting Collaboration Programme. It also explains your rights and who to contact if you have questions or concerns.

Who is responsible for my data?

Medr is the data controller for this project. This means that they are responsible for deciding the purpose and legal basis for processing data. For this project, the legal basis for processing data is Article 6(1)(e) of the General Data Protection Regulation where “processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the [data] controller”.

To deliver the project, Medr has commissioned the Involvement and Participation Association (IPA) and the Institute for Employment Studies (IES) to carry out the research and engagement activities on its behalf.

How did we obtain your contact details?

Medr has provided IPA and IES with your name, job role and work email address because you have been identified as a stakeholder with relevant knowledge and experience of employment relations and social partnership in the Welsh tertiary education sector.

Your contact details will only be used for the purposes of inviting you to participate in this research and administering your involvement in the project.

Who will have access to my personal data?

IPA and the Institute for Employment Studies have been commissioned to develop an evidence-based approach to supporting collaboration in the tertiary education sector in Wales, which includes a series of roundtables and a survey. This will mean that we will have access to details including your name, job role and work email address. We will use these data to invite data subjects to take part in roundtables and a survey.

How will my information from the roundtables and survey be used?

Participation in this research is entirely voluntary. You may choose not to participate and may decline to answer any question during a roundtable discussion or survey.

If you choose to participate, the information you provide will be used for research purposes only.

The roundtables will not be recorded. Instead, researchers will take written notes during the discussions to capture key themes and findings.

IES and IPA will analyse feedback from all participants and prepare reports for Medr. Findings will be reported in an aggregated form and individuals will not be identified by name in any reports, presentations or publications arising from the project.

How long will my personal data be retained?

Personal data will be stored securely and only for as long as necessary to complete the project. Your personal information will be securely deleted from the IES systems once the project is complete and the final report has been published, anticipated in August 2028.

Can I withdraw my data?

You have the right to withdraw from the research at any time. Because roundtables are not recorded and researchers will be analysing anonymised notes from discussions, it may not be possible to remove individual contributions once analysis has commenced.

If you wish to withdraw your participation or request the removal of information attributable to you, please contact the project team as soon as possible and no later than two weeks after your participation in a roundtable or completion of a survey.

The research team will make reasonable efforts to identify and remove any information that can still be linked to you at the point the request is received.

Your data protection rights

Under UK GDPR, you may have rights including:

  • The right to access your personal data.
  • The right to request correction of inaccurate personal data.
  • The right to request erasure of personal data in certain circumstances.
  • The right to restrict processing in certain circumstances.
  • The right to object to processing carried out in the public interest.
